About the position

The Administrative Specialist position at the University of Georgia's Office of Alumni Relations provides high-level administrative support to the Executive Director and Senior Directors. This role is essential for managing schedules, coordinating travel, handling correspondence, and assisting with budget tracking and event support. The position requires excellent organizational skills and the ability to interact professionally with various stakeholders, ensuring effective communication and operational efficiency within the department.

Responsibilities

  • Provide high level administrative support to the Executive Director and Senior Directors of Alumni Relations.
  • Manage complex calendars, schedule meetings, and coordinate travel arrangements for the Alumni Relations Team.
  • Prepare and submit travel and expense reimbursement requests for the Alumni Relations Team.
  • Develop and maintain general files and assist in maintaining confidential personnel records.
  • Assist in managing tasks to meet departmental goals and deadlines.
  • Implement and communicate policies and procedures effectively.
  • Review and monitor correspondence, ensuring follow-up actions are taken.
  • Perform a wide range of complex office administration tasks including word processing and spreadsheet development.
  • Consolidate staff meeting agenda items and prepare bi-weekly staff meeting agendas.
  • Answer telephones, greet guests, and manage incoming and outgoing mail.
  • Order and maintain office supplies and assist staff with various administrative needs.
  • Record personal constituent interactions in the GAIL CRM system and assist with special projects as assigned.
  • Monitor budgets, track expenditures, and prepare financial reports.
  • Assist with events organized by the Office of Alumni Relations and maintain event follow-up.

Requirements

  • High school diploma or equivalent required.
  • Progressively responsible experience in a fast-paced professional office environment.
  • Direct experience in the alumni relations industry is preferred.
  • Experience supporting a department head or manager.

Nice-to-haves

  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Excellent oral and written communication skills.
  • Proven ability to multi-task and manage multiple project timelines.
