About the position

The Administrative Specialist will support the National Oceanic and Atmospheric Administration (NOAA) by performing a variety of administrative tasks, including schedule management and support for federal and contractor travel activities. This role is situated within the Business Operations Division (BOD), responsible for all Acquisition, Administrative, and Financial services for the organization. The position is contingent on contract award and involves working closely with federal leadership, including the Director and Deputy Director.

Responsibilities

  • Support the NOAA Director and Deputy Director with day-to-day tasks.
  • Maintain and deconflict federal management schedules.
  • Coordinate events and/or meetings for federal senior leadership.
  • Assist with developing and/or maintaining presentations and/or briefings for the Director and Deputy Director.
  • Provide professional administrative support for federal and contractor travel.
  • Assist with the planning and execution of the Continuity of Operations Plan (COOP), Emergency Response Plan, and Hurricane Plan.
  • Maintain the accuracy of NOAA Staff Directory and Intranet/INET information.
  • Assist with records management efforts, including maintaining and updating standard operating procedures.
  • Assist with property records and inventory.

Requirements

  • Bachelor's Degree & 4 Years of Experience in related business fields.
  • Proficient computer knowledge with emphasis on Microsoft Office and Google Drive.
  • Strong, professional oral and written communication skills.
  • Demonstrated ability to build relationships with federal management, colleagues, and external partners.
  • Excellent interpersonal skills for effective communication with NOAA management, staff, and visitors.
  • Self-starter with ability to work in a small team environment with minimal supervision.
  • Experience supporting high-level management and maintaining confidentiality of data.
  • Ability to follow and create/update standard operating procedures as needed.
  • Ability to pass a National Agency Check (NACI).
