About the position

The Administrative Support Specialist I - Sr position at Oklahoma State University is responsible for providing high-quality front-line customer service to faculty, staff, students, and visitors at the Veterinary Teaching Hospital. The role involves direct administrative support to the VTH Director, Administrator, and Administrative Associate, ensuring that customer inquiries are handled efficiently and accurately. The position requires excellent interpersonal skills, the ability to work under pressure, and a commitment to maintaining confidentiality.

Responsibilities

  • Maintain high-quality front-line customer service to faculty, staff, CVM students, and other guests.
  • Provide exceptional service to walk-in traffic, email inquiries, and inbound phone calls.
  • Support the VTH Director, VTH Administrator, and VTH Administrative Associate with administrative tasks.
  • Demonstrate initiative to ensure customers are served quickly and accurately.
  • Maintain confidentiality and sensitivity in handling employee information.

Requirements

  • High school diploma or GED and 1 year of clerical/customer service experience.
  • Post-secondary education may substitute for years of required experience.
  • Excellent interpersonal communication skills to interact professionally with all levels of administration.
  • Self-motivated and well organized with the ability to work independently.
  • Experience with MS Office is required.
  • Ability to maintain confidentiality.

Nice-to-haves

  • Eight years of clerical/customer service experience.
  • Completion of the Ambassador Program, Leadership Development Program, Fiscally Fit, or HR Star.
