About the position

The Administrative Support Assistant II position at the Community College of Baltimore County is designed to provide professional-level administrative support to the Workforce Development Dean. This role involves assisting students, faculty, and administrators, managing records, and serving as a liaison between various departments and external organizations. The position requires strong organizational skills and proficiency in Microsoft Office applications, along with the ability to handle confidential information in compliance with HIPAA regulations.

Responsibilities

  • Assist and provide information to students, faculty, administrators, and the college community.
  • Assist in planning meetings, special events, and special projects.
  • Serve as a liaison between the department or program and other offices or organizations.
  • Research, analyze, and process data into college systems.
  • Maintain records and files.
  • Answer, screen, and direct telephone calls.
  • Compile reports, documents, forms, and correspondence.
  • Create and track check requests, requisitions, work orders, and other request forms.
  • Process and manage all relevant course, program, and/or personnel paperwork.
  • Serve as the initial contact and/or liaison between internal departments and external organizations.
  • Assist and provide course and career information, registration recommendations in person and via email/telephone to students.
  • Maintain and secure confidential files observing HIPAA regulations.
  • Maintain supplies for specific program areas, including ordering and P-Card reconciliation for instructional areas.
  • Produce, track, and reconcile billing for contract courses.
  • Research and evaluate issues towards resolution of instructor classroom and contract issues.

Requirements

  • High school diploma or GED and five years related office experience, or Associate's Degree and three years related office experience.
  • Knowledge and experience using Microsoft Office applications.
  • Must complete and pass Microsoft testing modules which includes Word and Excel.
  • Demonstrate the ability to type 30 wpm.
  • Candidates with proof of current Microsoft Office Expert Specialist Certification do not need to test.
