About the position

The Administrative Support Assistant (OA) position in Nursing Service is designed to provide comprehensive clerical and administrative support to the Associate Chiefs of Nursing Service. The role involves managing schedules, correspondence, and documentation, ensuring efficient operations within the Nursing Service department.

Responsibilities

  • Provide full administrative support to Associate Chief Nurses in Nursing Service.
  • Accurately take and transcribe minutes of meetings and ensure correspondence is error-free and timely.
  • Maintain a current calendar of events and meetings for assigned ACNS(s) and schedule appointments accordingly.
  • Screen incoming correspondence and determine necessary actions, obtaining clarifications when needed.
  • Maintain a suspense file for due dates of actions and ensure timely completion of tasks.
  • Publish and maintain an emergency callback plan on Nursing SharePoint.
  • Track current licensure for nursing staff and coordinate with HR for credentialing.
  • Maintain official files and electronic records for assigned ACNS sections, ensuring proper classification of sensitive information.
  • Serve as a resource for other administrative staff regarding report formats and correspondence.
  • Perform periodic inventory of Nursing equipment and manage procurement documentation.
  • Act as Records Liaison Officer for assigned sections, maintaining file plans and records management training.
  • Handle timekeeping and scheduling duties for direct subordinates and provide support to various Nursing Units as needed.
  • Participate in process improvement initiatives and assist ACNS(s) with related tasks.

Requirements

  • One year of specialized experience equivalent to the GS-05 grade level in federal service.
  • Experience in accurately taking and transcribing meeting minutes.
  • Ability to maintain a current calendar of events and meetings.
  • Experience in reading and screening correspondence and determining necessary actions.
  • Ability to maintain suspense files for due dates and ensure timely completion of tasks.
  • Strong interpersonal skills to maintain effective working relationships with co-workers and other services.

Nice-to-haves

  • Experience in a healthcare setting.
  • Familiarity with Supply Chain Management procurement systems.
  • Knowledge of records management policies and procedures.
