About the position

The Administrative Support Assistant (OA) position at the Department of Commerce involves providing essential administrative support to ensure efficient office operations. The role includes processing travel authorizations, managing employee onboarding and offboarding, and maintaining office records. This position is crucial for facilitating communication and organization within the department, contributing to a positive work environment.

Responsibilities

  • Process travel authorizations and vouchers.
  • Prepare documentation for guest researchers' appointments and renewals.
  • Assist in the in-processing of new employees, including arranging office space, phones, and computer accounts.
  • Prepare for and execute out-processing actions for departing employees.
  • Manage time and attendance, purchasing equipment, supplies, and services.
  • Prepare training requests and document completed training in the Commerce Learning Center database.
  • Schedule meetings, register attendees, and manage files, including archiving records.
  • Serve as the principal office contact for phone calls and inquiries.
  • Prepare documents, reports, and correspondence requiring typing at 40 WPM and proficiency in office automation software.

Requirements

  • U.S. citizenship.
  • Ability to type 40 words per minute.
  • One year of specialized experience equivalent to at least the GS-4 level, or 4 years of education above high school, or an equivalent combination of experience and education.

Nice-to-haves

  • Experience in utilizing administrative/clerical skills and automated systems.
  • Familiarity with processing time and attendance.
  • Experience in making travel and conference arrangements.
