About The Position

The Administrative Support Assistant position at the Birmingham VA Health Care System is designed to enhance the effectiveness of the Business Management Service (BMS) leadership by providing essential office support and clerical assistance. The role involves managing the Chief's calendar, drafting correspondence, and performing various administrative tasks to support the service's operations.

Requirements

  • Proficient in written and spoken English.
  • Experience maintaining and updating electronic calendars.
  • Experience transcribing meeting agendas/minutes and developing official correspondence.
  • Experience managing confidential/sensitive materials and documents.
  • Experience processing incoming and outgoing materials such as correspondence and reports.
  • Experience managing office supplies and conducting routine inventories.

Nice To Haves

  • Experience in a healthcare setting.
  • Familiarity with VA policies and procedures.
  • Knowledge of budget management and financial tracking.

Responsibilities

  • Perform office support duties and clerical tasks to assist BMS leadership.
  • Coordinate the Chief's calendars and schedule appointments.
  • Draft routine official correspondence and reports.
  • Collect, compile, and track data and statistical information.
  • Function as the service timecard coordinator, ensuring timely submission of timecards.
  • Maintain organized records for time and attendance, leave usage, and budget purposes.
  • Process incoming and outgoing correspondence and reports.
  • Prepare manuscripts, grant proposals, and statistical reports using technical terms.
  • Attend meetings, prepare minutes, and follow up on action items.
  • Coordinate travel arrangements for the Chief and assist with public engagements.
