About the position

The Administrative Support Associate I plays a crucial role in providing and overseeing administrative support functions within established procedures. This position requires strong organizational and interpersonal skills to effectively manage sensitive information and maintain a professional demeanor while interacting with various stakeholders. The incumbent will be responsible for a variety of tasks, including managing communications, assisting with operational support, and ensuring compliance with company policies.

Responsibilities

  • Serve as the initial contact for visitors and screen incoming calls.
  • Handle incoming and outgoing mail and assist with daily tasks related to field activities.
  • Provide check sheets for routine maintenance and review daily field reports as required.
  • Assist with procurement of employee uniforms and track retired articles of clothing.
  • Coordinate training and maintain fleet vehicle registrations and inspections.
  • Order office supplies and coordinate administrative functions of facility management.
  • File documents and maintain computerized and manual records for retention.
  • Process and review time entries and maintain leave balances.
  • Develop and produce Monthly Operational Reports and other deliverable reports.
  • Assist with employee benefit requests and coordinate yearly open enrollment.
  • Review and route applications from the applicant tracking system and coordinate interviews.
  • Assist with Workers Compensation claims and reports of vehicle and property damage.
  • Conduct outreach to community leaders and coordinate community outreach events.

Requirements

  • High school diploma or equivalent.
  • Three to five years of related business experience preferred.
  • Proficiency in Microsoft Office Suite.
  • Ability to effectively organize multiple projects and establish priorities.
  • Strong written and verbal communication skills.

Nice-to-haves

  • Experience in a military or government contracting environment.
  • Familiarity with OSHA and safety training requirements.
