About the position

The Administrative Support Coordinator for the College of Business at California State University, Monterey Bay, plays a crucial role in providing comprehensive office support to the Dean. This position involves managing the Dean's calendar, coordinating travel, maintaining academic records, and ensuring compliance with university policies. The coordinator will also assist in event planning and provide customer service to students, faculty, and staff, all while contributing to the overall administrative objectives of the College.

Responsibilities

  • Establish and maintain strategic office management for the Dean and College.
  • Maintain and update the Dean's calendar, scheduling appointments and meetings.
  • Assemble and distribute information/documents and agendas for meetings.
  • Provide work direction to student assistants and/or staff.
  • Coordinate travel arrangements and process related documentation.
  • Sort and process mail, identifying priority items for review.
  • Maintain a complex system of materials, documents, files, and records.
  • Assist with the production of reports, statistical data, and publications.
  • Support planning and implementation of special events and programs.
  • Ensure compliance with university policies and procedures.
  • Track budget expenditures and maintain balances.

Requirements

  • Thorough knowledge of correct English, including grammar, spelling, punctuation, and editing.
  • Ability to quickly acquire knowledge of university infrastructure, policies, and procedures.
  • Experience in standard office procedures and practices.
  • Ability to handle multiple priorities and projects under strict deadlines.
  • Proficient in Microsoft Office Suite and Google Suite.

Nice-to-haves

  • Experience in planning and executing events.
  • Technical fluency with Oracle/PeopleSoft or equivalent information systems.
  • Demonstrated ability to prioritize work in a complex department.
