About the position

The Administrative Support Manager for the School of Global Languages, Literatures, and Cultures (SGLLC) at Penn State University is responsible for overseeing and managing the administrative support activities and operations of the unit. This role involves working closely with department heads to ensure effective administration, budget management, and compliance with university policies. The position requires strong leadership and organizational skills to manage daily operations, supervise staff, and coordinate various administrative functions across multiple departments.

Responsibilities

  • Oversee daily administrative functions for all units within the SGLLC.
  • Develop and maintain administrative management procedures, ensuring compliance with university and college policies.
  • Direct, supervise, and evaluate the work of support staff; serve as the human resource contact on staff issues.
  • Manage departmental and program finances and budgets, maintaining accountability for all budget expenditures.
  • Manage external grants and awards, ensuring compliance with sponsoring agency requirements and university policies.
  • Plan, prioritize, and coordinate office moves and other facilities issues, serving as the liaison with the College's Administrative Services area.
  • Act as liaison with various College and University offices, including Human Resources and Research and Graduate Studies.
  • Oversee administrative support staff work involving departmental/program support, financial activities, and faculty affairs.
  • Establish workplace norms that promote excellent customer service.

Requirements

  • Minimum of an Associate Degree and eight years of relevant experience, including three years of supervisory experience, or an equivalent combination of education and experience.
  • Excellent leadership, communication, and people management skills.
  • Demonstrated ability to be proactive and take initiative.
  • Detail-oriented with a genuine appreciation for working with diverse audiences.
