About the position

The Administrative Support Specialist at the Community of Christ Seminary, Graceland University, is responsible for providing comprehensive administrative support to the seminary operations, communication, marketing, admissions, and enrollment processes. This full-time position plays a crucial role in ensuring smooth operations and effective communication within the seminary, while also supporting students and faculty in various administrative tasks.

Responsibilities

  • Support annual orientation for new students
  • Schedule classes each year
  • Collate online BrightSpace D2L course and faculty surveys
  • Attend and record meeting minutes for Seminary Faculty and Staff meetings
  • Attend and record meeting minutes for the Seminary Advisory Committee
  • Attend and record meeting minutes for Sustainable Social Justice Committee
  • Update Seminary Student Handbook
  • Send out required text lists & syllabi for each course to all registered students
  • Work with Focus Session Coordinator to execute Focus Session
  • Order and imprint Bibles for all commissioned students
  • Maintain consistent communication with students via phone and email
  • Communicate special events and programs
  • Develop and distribute invitations, flyers, and notifications using Canva
  • Post on social media for marketing purposes
  • Check the seminary email inbox and physical mailbox daily
  • Track enrollment projections and communicate with the Dean
  • Track Slate daily for applications and leads
  • Process documents and enter information into the system(s)
  • Create student files and organize documents
  • Create systems, processes, and procedures for efficiency
  • Ensure admissions letters are sent and confirmations received
  • Serve as the liaison between students and student accounts/financial aid
  • Track CofC Tuition Benefit, Emerging Leader Grant, and Scholarships for students
  • Update records in CARS
  • Set up programs of study for each student
  • Process course enrollments and withdrawals
  • Facilitate student enrollment for CIMM
  • Assist Dean as needed
  • Perform other duties as assigned.

Requirements

  • Bachelor's degree preferred or equivalent obtained through a combination of education and experience
  • 1 year of relevant experience
  • Proficiency in Cognos
  • Mid-level experience with Canva
