About the position

The Administrative Support Specialist for Crisis & Community Services at CarePlus New Jersey plays a crucial role in providing administrative and clerical support to management, staff, and clients. This position involves greeting clients and visitors, managing phone communications, scheduling appointments, and maintaining accurate records in the agency's electronic health record system. The role requires a friendly and professional demeanor, as well as the ability to handle various administrative tasks both in-person and virtually.

Responsibilities

  • Provide administrative and clerical support to management, staff, and clients.
  • Serve as a greeter and provide support to program prescribers, managers, staff, and clients for all virtual/in-person appointments.
  • Answer the telephone and provide routine information in a positive, friendly, and professional manner.
  • Schedule appointments and conduct appointment confirmations/reminder calls to patients.
  • Verify, review, and update demographic and insurance information in the agency's electronic health record.
  • Collect payment at the time of service and/or collect past balances from the client.
  • Perform weekly billing entries to ensure proper services are released for reimbursement.
  • Scan clientele documentation in electronic health records to secure accurate record-keeping.
  • Provide administrative support in weekly team meetings by reserving rooms, preparing agendas, and taking meeting minutes.
  • Effectively present information in one-on-one and small group situations.

Requirements

  • High School diploma (HSD) or General Education Degree (GED).
  • Two years minimum receptionist experience in the medical or mental health field.
  • A valid Driver's license required and must be insurable by the agency's automobile insurance.

Nice-to-haves

  • Knowledge of Patient Accounting systems - Evolv NX, MyAbility, Navinet, Availity, Smart Client Kiosk, and NJMMIS.
