About the position

The Administrative Support Specialist I - Senior Administrative Support Specialist position at Oklahoma State University (OSU) is a full-time role within the College of Arts and Sciences. This permanent position provides essential administrative support and business continuity to various academic and service departments that are experiencing vacancies or leaves of absence in their administrative staff. The specialist will perform specific OSU administrative functions that are not typically feasible with temporary agency hires, assisting in training new staff and maintaining departmental procedures.

Responsibilities

  • Provide administrative support to various academic and service departments experiencing vacancies or leaves of absence.
  • Assist the CAS training coordinator with training of staff in new employee onboarding, payroll, fiscal/budget responsibilities, maintenance operation, student services, scholarship, and OSU Foundation.
  • Maintain the college's procedure manual for administrative staff use.
  • Coordinate the flow of accounting, personnel, and payroll documents.
  • Act as a resource for interpreting information in accordance with policies and procedures.
  • Perform audits and coordinate fundraising efforts within the department.
  • Oversee purchasing for the department/unit and resolve conflicts among students.
  • Supervise the updating of student and/or personnel files and coordinate special student enrollment procedures.

Requirements

  • High school degree/GED and one year of clerical and customer service experience.
  • Post-secondary education may be substituted for required experience.

Nice-to-haves

  • Prior administrative support experience within Oklahoma State University.
  • Ability to coordinate flow of accounting, personnel, and payroll documents.
