About the position

The Administrative Support Staff at Center Point, Inc. plays a crucial role in providing complex administrative support and serves as the first point of contact for clients and visitors. This position involves a variety of tasks including call and email screening, scheduling, data entry, and maintaining office systems to ensure smooth operations within the organization, which focuses on substance abuse and mental health rehabilitation services.

Responsibilities

  • Perform general administrative tasks such as filing, organizing, data entry, and billing.
  • Assist in maintaining the appointment system (Outlook) or other assigned systems.
  • Process patient/client data entry for the company's various electronic systems according to established guidelines.
  • Manage receipt and routing of agency mail (incoming and outgoing).
  • Assist and direct callers and visitors to appropriate employees and departments.
  • Operate a single or multiple-position telephone.
  • Provide orientation, training, and supervision of volunteers on specific front desk responsibilities.
  • Maintain a schedule of administrative deadlines and ensure office systems are functioning optimally.
  • Identify and suggest improvements to office procedures and systems.

Requirements

  • Prior experience in front desk reception, administrative, and/or customer service.
  • Strong organizational, interpersonal, listening, speaking, and written communication skills.
  • Ability to assist callers and visitors in an approachable and welcoming manner.
  • Ability to work effectively with all levels and types of employees, management, clients, and guests.
  • Ability to multi-task and work well independently and under pressure in a fast-paced environment.
  • Strong proficiency with Microsoft Office applications (Excel, Outlook, and Word).
  • Knowledge of HIPAA regulations.
  • High School Diploma or GED equivalent.
  • Valid California Driver's license.

Nice-to-haves

  • Substance abuse facility experience.
  • 2 years experience working in an office setting, preferably in a Social or Human Services Organization.
  • Understanding of addiction, criminal, and homelessness issues.
  • Evaluation, research, and grant management skills.
