About the position

The Administrative Support position at Ameriinfovets, Inc. involves providing comprehensive clerical and administrative support to the logistics branch. The role includes managing travel arrangements, maintaining office supplies, scheduling meetings, and ensuring effective communication within the team. The position requires attention to detail and the ability to handle multiple tasks efficiently while adhering to established guidelines and procedures.

Responsibilities

  • Perform clerical and administrative duties for the logistics branch.
  • Arrange travel and accommodations for branch/team members using the ASPR's travel system.
  • Prepare travel orders, memos, travel vouchers, and support documentation for approval and disbursement of funds.
  • Review all reports generated by the ASPR's travel department and make corrections to travel orders/vouchers as needed.
  • Maintain travel files according to ASPR guidelines and track travel trips and expenses.
  • Schedule meetings and assist in the setup of all hands meetings as requested.
  • Answer and triage phone calls to the branch/team, handling inquiries tactfully and intelligently.
  • Serve as the primary mail clerk for the branch/team, ensuring proper sorting and distribution of mail.
  • Maintain office supplies and assist in purchasing actions to support branch activities.
  • Process requests for purchases, telecommunications service, and training requests.
  • Maintain records of purchases according to ASPR guidelines and review outgoing correspondence for proper attachments and signatures.
  • Coordinate with division staff to in-process new employees and out-process departing employees.
  • Monitor branch equipment and request service and supplies as required.
  • Maintain files according to branch procedures and perform periodic inventory of files for Records Management.
  • Maintain calendars/schedules and Occupant Evacuation rosters for branch members.
  • Draft briefs, letters, and memos related to non-technical, administrative matters.
  • Publish and maintain branch administrative procedures for regular tasks.
  • Control the production of reports and outgoing correspondence to meet suspense dates/times.
  • Integrate office automation software to generate specific working documents and forms.
  • Submit work orders for general facilities issues and update the branch seating chart as directed.

Requirements

  • High School diploma or GED.
  • A minimum of three (3) years of administrative experience.
  • Experience with CONCUR preferred.

Nice-to-haves

  • Experience with travel management systems.
  • Familiarity with CDC and DSNS training requirements.

Benefits

  • Competitive salary range of $42.9K - $54.4K per year.
