About the position

The position involves providing administrative support for the Driver Rehab department, Vehicle Modification, and Vehicle Sales. The role focuses on client communication, document management, client preparation, financial tasks, and general administrative duties to ensure smooth operations within the office.

Responsibilities

  • Answer calls for Driver Rehab, Vehicle Modification, and Vehicle Sales.
  • Respond to voicemails, missed calls, and Dialpad messages (texts and voicemails).
  • Respond to portal messages or assign them to the appropriate therapist.
  • Schedule evaluations and training sessions for Driver Rehab in Chantilly.
  • Receive and appropriately disperse incoming faxes.
  • Handle DMV-related faxes, including enrollment forms, extension requests, test requests, and restriction changes.
  • Fax reports to referring providers and DMV for medical reviews.
  • Scan receipts into the Google Drive and send copies to payors.
  • Archive completed client folders.
  • Prepare client folders for new clients, including evaluation packets, intake forms, and referral paperwork.
  • Maintain cleanliness and organization of the lobby and office areas.
  • Collect payments from clients.
  • Maintain the income spreadsheet.
  • Assist with vehicle maintenance, including inspection reports, refueling, and taking vehicles to car washes.
  • Serve as Administrative Assistant for the Driver Rehab department, Vehicle Modification, and Vehicle Sales.
  • Perform various administrative tasks, including filing, mailing, invoicing, and scanning.
  • Operate office equipment, including scanners, copiers, fax machines, and computers.
  • Attend team meetings and contribute to organizational development.
  • Establish and maintain lists, registers, and files in compliance with HIPAA regulations.

Requirements

  • Demonstrated leadership and managerial skills in previous employment.
  • Proficiency in software packages, including Google G-Suite.
  • Exceptional oral, written, telephone, and face-to-face communication skills.
  • Strong organizational and time-management skills.
  • Ability to troubleshoot office equipment, including photocopiers, fax machines, laser printers, computers, and scanners.
  • Excellent customer service skills.
  • Ability to work independently, self-initiate tasks, and problem-solve effectively.
  • Adaptability and flexibility to support DRCEs evolving objectives.
  • Availability to work 9:00 AM to 5:00 PM.
