About the position

The HR/Administrative Assistant will support the daily operations of the center by organizing office tasks, assisting associates, and ensuring efficient communication and record-keeping. This role requires a detail-oriented professional who can manage various administrative duties while maintaining discretion and a high level of service.

Responsibilities

  • Organize office and assist associates in ways that optimize procedures
  • Sort and distribute communications in a timely manner
  • Review client notes and ensure they are submitted on a timely basis
  • Create and update records ensuring accuracy and validity of information
  • Update time sheets for missed punches, monitor attendance, PTO, etc.
  • Conduct new hire orientation, issue badges, and serve as liaison with HR
  • Monitor level of supplies, handle shortages, and order when necessary
  • Resolve office-related malfunctions, such as printers, and respond to requests or issues
  • Coordinate and assist other staff with any clerical needs they may have
  • Maintain trusting relationships with employees, vendors, clients, and parents
  • Perform receptionist duties, answer front doors, and assist with drop-off and pick-up

Requirements

  • Proven experience as an office assistant, receptionist, or in another relevant administrative role
  • Working knowledge of office equipment (phones, computers, printers, fax, scan)
  • Thorough understanding of office management procedures
  • Excellent organizational and time management skills
  • Analytical abilities and aptitude in problem-solving
  • Excellent written and verbal communication skills
  • Customer service oriented, assist when needed
  • Proficiency in MS Office and Google Suite
