Heraeus Quartz North America, LLC. has an immediate opening for a talented, high-energy, Executive Administrator to join our team at our Buford, GA location. The Executive Administrator provides support to the President and Senior Management Team performing advanced, diversified and highly confidential administrative duties. This role acts and the office manager requiring broad and comprehensive experience, skill and knowledge of organizational policies and practices. This is a fast-paced position that requires flexibility, a proactive and resourceful mindset, and a high level of professionalism.

Responsibilities

  • Acts as a liaison between executives and internal/external clients.
  • Screens, directs phone calls and distributes correspondence.
  • Prepares complex presentations, reports, and documents, including PowerPoint presentations, database, and spreadsheets as needed.
  • Organizes and schedules meetings, trade shows and conferences.
  • Maintains and manages documentation and filing system.
  • Plans and organizes complex international and domestic travel, including creating itineraries, coordinating meetings, and securing visas as necessary.
  • Calendar Management - Effectively manage and maintain extremely active calendar of appointments and solves potential scheduling conflicts.
  • Tracks and reconciles monthly credit card statements; complete and submit expense reports, and other expenditures accurately and in a timely manner.
  • Recognizes and manages confidential information and maintains the highest level of ethical behavior.
  • Remains flexible and responsive in adjusting work schedule and setting priorities based on Executives requirements.
  • Coordinates and plans internal/external events for HQNA and German colleagues.
  • Provides support as needed to HQNA staff members.
  • Provides Notary services for HQNA and its employees.

Requirements

  • Bachelor's degree in business or related field.
  • Minimum of 5 years' experience in executive admin role or similar.
  • Experience with forecasting reporting and data analysis is highly preferred.
  • Highly organized with a high level of detail orientation is necessary.
  • Positive attitude and eagerness to be resourceful is a must.
  • Solid work ethic and self-motivation is required.
  • Must demonstrate a high level of integrity, professionalism; exhibit a high level of motivation and initiative with the ability to meet deadlines.
  • US Work Authorization required.
