About the position

The Administrator in HR Operations plays a crucial role in supporting the HR department's administrative functions within the JTC Group. This position is responsible for delivering comprehensive HR services that facilitate the employee lifecycle, ensuring accurate data management and providing a positive onboarding experience for new hires. The role requires effective communication and collaboration with various business areas to meet HR data requests and maintain high standards of confidentiality and compliance with regulatory requirements.

Responsibilities

  • Assisting with end-to-end Employment Life Cycle administration, ensuring accurate data recording in the HR database.
  • Providing a positive onboarding experience for new starters, from acceptance of offer through to completion of probation.
  • Assisting in the provision of data, organization charts, and statistical reports required by the business.
  • Managing HR queries and emails, meeting agreed service levels.
  • Providing timely service for inquiries to both internal and external customers.
  • Maintaining HR documents and records efficiently and accurately.
  • Providing employment references in accordance with best practices and regulatory requirements.
  • Supporting recruitment administration, including managing job postings and scheduling interviews.
  • Maintaining the Applicant Tracking system processes and ensuring data quality.
  • Proposing efficiencies and improvements based on process monitoring.
  • Supporting the creation and maintenance of job descriptions in the HR system.
  • Coordinating career events and supporting unpaid Work Placements.
  • Assisting with agency terms and invoices administration for the Group Resourcing team.
  • Developing knowledge of jurisdictional processes and applying it to administrative activities.
  • Contributing to a multi-jurisdictional HR team and building effective working relationships.
  • Ensuring confidentiality and security of employee data and compliance with GDPR.

Requirements

  • Previous HR Administration experience is required.
  • Good understanding of customer service, including managing expectations and maintaining data quality.
  • Good level of Microsoft experience, particularly with Excel.
  • Self-motivated and keen to develop knowledge in relevant fields.

Nice-to-haves

  • CIPD qualified (or working towards) is preferred, but not essential.
