About the position

The Office Manager position at the Las Vegas North Premium Outlets serves as a critical support role within the center management office. This position is responsible for providing ongoing administrative support to the center management staff as determined and assigned by the General Manager. The Office Manager must possess excellent time management skills, independent planning capabilities, and the ability to prioritize tasks effectively. The role requires evaluating alternatives, selecting best practices, and completing tasks in the most efficient manner possible. The Office Manager will oversee various administrative functions, ensuring that the administrative staff supports all departments and completes projects accurately and on time. Key responsibilities include managing Accounts Payable and Accounts Receivable, handling procurement cards and petty cash, and engaging in the budgeting and forecasting cycle at the center. Additionally, the Office Manager will coordinate and support the short-term leasing program, manage lease agreements in Salesforce, process monthly rent, tenant sales, overage rent, and certificates of insurance, and maintain all opening documents. Other responsibilities include administering the Fleet Management program, maintaining documents for Capital and Operational service agreements, tracking and maintaining DocuSign agreements and insurance documents, and performing general office administrative tasks such as ordering and maintaining inventory of office supplies. The Office Manager will also draft documents and reports for management, provide updates on company policies and procedures, and support marketing events and promotions as needed. If applicable, the Office Manager may assist in hiring and training administrative staff and processing weekly payroll for in-house hourly employees.

Responsibilities

  • Provide administrative support to center management staff as assigned by the General Manager.
  • Ensure administrative staff supports all departments and completes projects accurately and timely.
  • Manage Accounts Payable and Accounts Receivable, procurement card, and petty cash.
  • Engage with the budgeting and forecasting cycle at the center.
  • Coordinate and support the short-term leasing program.
  • Administer lease agreements in Salesforce, including processing monthly rent and tenant sales.
  • Manage overage rent, certificates of insurance, and all opening documents.
  • Administer the Fleet Management program, including PIN maintenance and vehicle maintenance processes.
  • Create and maintain documents for Capital and Operational service agreements.
  • Track and maintain DocuSign agreements and insurance documents.
  • Perform general office administrative tasks such as ordering office supplies and drafting documents for management.
  • Support marketing events, promotions, and collateral management as applicable.
  • Assist with hiring and training of administrative staff and contribute to their performance evaluation as applicable.
  • Process weekly payroll for in-house hourly employees and submit required documents for new hires in Workday as applicable.

Requirements

  • High school diploma or equivalent; some college or professional school preferred.
  • 3-5 years of administrative office experience, preferably in office management within a fast-paced environment.
  • Supervisory and coaching skills with the ability to delegate tasks effectively.
  • Knowledge of administrative procedures and customer service principles.
  • Aptitude for understanding financial reports and extracting relevant information.
  • Experience with Accounts Payable and Receivable using systems such as Yardi.
  • Strong working knowledge of Microsoft Office, Salesforce, and web-based input software.
  • Effective conflict resolution and customer service skills for interactions with customers, tenants, and co-workers.
  • Strong verbal and written communication skills.
  • Excellent organizational and interpersonal skills with attention to detail.
  • Ability to prioritize, coordinate, multi-task, and demonstrate initiative.
