About the position

The Office Administrator serves as the office manager for all administrative support positions at the mall, providing ongoing support to the mall management staff as assigned by the General Manager. This role requires independent planning, prioritization, and the ability to evaluate alternatives to complete tasks efficiently.

Responsibilities

  • Provide administrative support for property financial cycle including Accounts Payable and Accounts Receivable, procurement card, procurement to pay, petty cash, property budget, and contract preparation.
  • Support and administer marketing events, promotions, sponsorships, and the Kidgits Program.
  • Coordinate and support short-term leasing agreements, tracking milestones and updating lease agreements as needed.
  • Assist with obtaining and processing monthly rent, tenant sales, and overage rent.
  • Perform general office administrative tasks such as ordering and maintaining inventory of office supplies, preparing customer complaint responses, and drafting documents for management.
  • Process required documents for new hires, terminations, promotions, and other personnel status changes.
  • Prepare payroll and time entry into the PeopleSoft system, obtaining approval from the Mall Manager.
  • Assist with hiring and training of Administrative Assistant and/or Receptionist positions and contribute to their performance evaluation.
  • Coordinate tasks with Administrative Staff to ensure all departments are supported and work is completed correctly and timely.
  • Provide general administrative support and projects as directed.

Requirements

  • High school diploma or equivalent; some college or professional school preferred.
  • 3-5 years of administrative office experience, preferably in office management in a fast-paced environment.
  • Supervisory and coaching skills with the ability to delegate tasks.
  • Knowledge of administrative procedures and customer service principles.
  • Aptitude for understanding financial reports and extracting information.
  • Strong working knowledge of Microsoft Office, JD Edwards, OneWorld, and web-based input software.
  • Effective conflict resolution and customer service skills for interaction with customers, tenants, and co-workers.
  • Strong verbal and written communication skills.
  • Strong organizational and interpersonal skills with attention to detail.
  • Ability to prioritize, coordinate, multi-task, and demonstrate initiative.
