About the position

We are seeking a detail-oriented and organized Administrative Assistant to join our team at Semper Fi Land Services. This part-time role is crucial in supporting our office operations and ensuring smooth communication within the team and with clients. The ideal candidate will possess strong communication skills, be collaborative, and have the ability to manage multiple tasks efficiently. The position requires flexibility to adapt to new tasks as needed, especially during the busy season, which may include Saturday work. Spanish speaking is preferred.

Responsibilities

  • Provide excellent customer service to our customers, vendors, and employees.
  • Manage incoming calls with professionalism, demonstrating excellent phone etiquette.
  • Utilize office phone systems effectively to facilitate communication.
  • Maintain organized electronic and physical filing systems for easy access to important documents.
  • Coordinate calendar management, track time off, schedule appointments, and meetings for team members.
  • Perform administrative tasks such as data entry, proofreading documents, and preparing reports.
  • Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and computers.
  • Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail.
  • Compile, copy, sort, and file records of office activities, timecards, insurance files, business transactions, and other activities.
  • Run errands as needed.
  • Collaborate with other departments to ensure seamless office operations and effective communication.
  • Ensure the office is always clean, neat, and organized.
  • Clean up after meetings, take trash out, sweep or vacuum floors.
  • Troubleshoot problems involving office equipment.
  • Call outside service vendor when needed, and make sure repair is done properly.
  • Assist in the preparation of presentations and other materials as needed.

Requirements

  • Proven experience as an Administrative Assistant or in a similar role within an office environment.
  • Strong computer literacy skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Strong attention to detail and accuracy in all work performed.
  • Ability to maintain confidentiality regarding sensitive information.
  • A proactive attitude towards problem-solving and improving office processes.
  • Minimum 2 years' experience in an office environment and customer service.

Nice-to-haves
