About the position

The Admissions Database Manager at Flintridge Sacred Heart Academy (FSHA) plays a crucial role in the management and oversight of admissions data, reporting directly to the Director of Admissions and Enrollment Management. This full-time position is integral to the admissions team, with responsibilities split evenly between data management and supporting admissions practices aimed at promoting application and enrollment. The successful candidate will be a proactive data manager who is committed to the mission of FSHA, which emphasizes equity and access in education. The role requires a self-starter who is enthusiastic about using data to inform admissions strategies and is capable of working both independently and collaboratively within a team environment. A sense of humor and a collegial spirit are essential traits for this position, as the Admissions Database Manager will engage in outreach efforts and community engagement to promote the academy. In this role, the Admissions Database Manager will build and manage the admissions database management system, oversee the application process using Blackbaud, and ensure effective data collection, management, and reporting. The position also involves carrying out recruitment efforts, which include organizing campus tours, presentations, and events both on campus and in the community. The manager will be responsible for scheduling applicant interviews, planning high school open houses, and coordinating various admissions-related events. Additionally, the role requires developing and maintaining relationships with local schools and community partners, as well as working with Student and Parent Admissions Ambassador volunteers. Evening and weekend work may be required, along with travel to local feeder schools, making flexibility a key component of this position.

Responsibilities

  • Build and manage an admissions database management system.
  • Manage application process in Blackbaud from inquiries, applicants to enrollments.
  • Oversee admissions data collection, management, and reporting.
  • Carry out recruitment efforts promoting FSHA through campus tours, presentations, and events.
  • Organize applicant interview schedules.
  • Assist with planning and coordinating high school open houses, information sessions, campus tours, and yield events.
  • Interview families applying to FSHA and read and evaluate admissions applications and materials.
  • Develop, cultivate, and manage relationships with local schools and community partners.
  • Work with Student and Parent Admissions Ambassador volunteers.
  • Perform other duties as assigned by the Director of Admissions and Enrollment Management and the Associate Director of Admissions.

Requirements

  • Bachelor's degree in a related field.
  • 3-5 years working with database management systems.
  • Experience with admissions-oriented database platforms, such as Blackbaud.
  • Experience working directly with students and/or parents.
  • Strong quantitative skills; organized and efficient.
  • Proactive, flexible, and detail-oriented.
  • Strong written and verbal communication skills.
  • Attention to detail and logistics.
  • Proven ability to work in a professional environment.
  • Patience, commitment to hard work, and an active sense of community.
