About the position

The Administrative Assistant for the Director of Behavioral Health and Crisis Services at Catholic Charities Serving Central Washington provides high-level administrative support to ensure the efficient operation of the Director's office. This role involves managing schedules, coordinating travel, handling correspondence, and assisting with project management and event planning, all while maintaining confidentiality and professionalism.

Responsibilities

  • Managing the Director's calendar and scheduling appointments and meetings.
  • Making travel arrangements, including booking flights, hotels, and transportation.
  • Handling incoming and outgoing correspondence, including emails, letters, and phone calls.
  • Drafting, editing, and proofreading various documents such as reports and presentations.
  • Organizing and coordinating meetings, including sending out invitations and preparing agendas.
  • Taking minutes during meetings and ensuring accurate records are kept.
  • Organizing and maintaining physical and electronic files and records.
  • Conducting research and preparing reports or presentations as requested by the Director.
  • Assisting with project management tasks and tracking deadlines.
  • Communicating with HR regarding open positions and scheduling interviews.
  • Assisting with planning and coordination of staff conferences and meetings.
  • Handling sensitive and confidential information with discretion.
  • Gathering and processing end-of-month credit card vouchers and timesheets.
  • Maintaining knowledge of grants and contracts and monitoring budgets.
  • Initiating the hiring process and assisting with onboarding and credentialing.
  • Performing other duties as assigned.

Requirements

  • Bachelor's degree in a relevant field.
  • Proven experience in an administrative support role, preferably in a healthcare or behavioral health setting.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.

Nice-to-haves

  • Experience with project management software.
