About the position

The North Central Administrative Assistant will provide high-level administrative support to the North Central Director of Behavioral Health and Crisis Services. This role involves managing the Director's calendar, scheduling appointments, handling correspondence, coordinating travel, and maintaining files. The assistant will also prepare reports, monitor grants, conduct research, and assist with project management and event planning.

Responsibilities

  • Managing the Director's calendar and scheduling appointments, meetings, and events.
  • Making travel arrangements, including booking flights, hotels, and transportation.
  • Handling incoming and outgoing correspondence, including emails, letters, and phone calls.
  • Drafting, editing, and proofreading various documents such as reports and presentations.
  • Organizing and coordinating meetings, including sending out invitations and preparing agendas.
  • Taking minutes during meetings.
  • Organizing and maintaining physical and electronic files and records.
  • Conducting research and preparing reports or presentations as requested.
  • Assisting with project management tasks and tracking deadlines.
  • Communicating with HR regarding open positions and scheduling interviews.
  • Assisting with planning and coordination of staff conferences and meetings.
  • Handling sensitive and confidential information with discretion.
  • Gathering and processing end of month credit card vouchers and timesheets.
  • Maintaining knowledge of grants and contracts and monitoring budgets.
  • Initiating the process of filling open positions and assisting with onboarding.

Requirements

  • 4 Year Degree in a relevant field.
  • Experience in administrative support or a similar role.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Proficiency in Microsoft Office Suite and other relevant software.

Nice-to-haves

  • Experience in the healthcare or behavioral health field.
  • Familiarity with grant management and budgeting processes.
  • Project management experience.
