About the position

The Administrative Assistant position at NR Consulting LLC is a part-time, contract role focused on supporting the Operations and Administration functions of the agency. The role requires working 22.5 hours per week onsite in Downtown Boston, where the assistant will handle various administrative tasks, manage mail and package deliveries, assist with record retention, and support meeting preparations.

Responsibilities

  • Assist Operations Assistant with sorting incoming mail and delivering it to staff mailboxes.
  • Handle incoming package deliveries and outgoing shipments via FEDEX, UPS, or other services.
  • Manage the mail posting machine and ensure postage balance is current.
  • Assist with record retention work to transition hard files to the cloud.
  • Gather information and prepare the internal newsletter.
  • Provide administrative support by answering and directing phone calls.
  • Assist with conference room reservations, scheduling appointments, and meetings.
  • Greet visitors in the reception area and ensure they are assisted promptly.
  • Prepare and maintain conference rooms for meetings, including equipment and supplies.
  • Maintain office supplies, cleaning supplies, and kitchen supplies.
  • Assist with preparation for meetings and agency outings, including planning and day-of activities.

Requirements

  • Strong research skills and resourcefulness abilities.
  • Excellent professional phone manner and strong communication skills.
  • Extremely well organized with high attention to detail.
  • Strong proficiency with Microsoft Office Professional suite and Google Suite.
  • Ability to type 55-60 words per minute.
  • Strong written and verbal communication skills.
  • Excellent problem-solving ability.
  • Strong work ethic and ability to manage multiple tasks.
  • Ability to work optimally in a team environment.
  • Proven interpersonal skills to interact with all levels of management.
  • Detail-oriented with great accuracy.
  • Some event planning experience is beneficial.
  • Ability to lift up to 50 pounds.
