About the position

The Advance Representative (Program Specialist II) position at the Office of the Governor involves providing consultative services and technical assistance in the Scheduling and Advance Division. The role requires collaboration with other staff to plan and coordinate events, manage logistics, and serve as the main point of contact for the Governor during events. The position demands a high level of confidentiality and ethical judgment, as well as the ability to effectively communicate and document information related to event planning and execution.

Responsibilities

  • Assist in researching and planning appropriate sites for state press and policy events.
  • Staff the Governor at events and serve as the main point of contact for the Governor and staff.
  • Plan and coordinate facilities, catering, signage, displays, translation, audio-visual equipment, printing, and security for events.
  • Work with event organizers on logistics and event schedules.
  • Monitor event expenses and/or budgets as directed.
  • Coordinate media coverage of the Governor's events.
  • Assist with crowd control and media accessibility at events.
  • Communicate, document, and relay information clearly to others.
  • Coordinate the availability of equipment, transportation, displays, and other business needs.
  • Confer with staff at designated event sites to understand and expedite all related details.
  • Handle calls and prepare business correspondence as required.
  • Prepare reports and executive briefings.
  • Respond to staff inquiries regarding site selection and consult with other agency staff as needed.
  • Evaluate select providers, venues, and location staff as necessary.
  • Perform travel aide responsibilities for the Governor when needed.
  • Assist with scheduling assistant duties when necessary.
  • Train other staff as required.

Requirements

  • Two years of professional experience in logistics, marketing, or advertising.
  • Graduation from an accredited four-year college or university with a degree in business, marketing, communications, public administration, political science, or a related degree.
  • One year of experience in executive, campaign, or elected official scheduling.

Nice-to-haves

  • Experience in event planning or coordination.
  • Familiarity with state government operations and protocols.
