About the position

The Advanced Medical Support Assistant (MSA) plays a crucial role in providing specialized administrative patient support within the Department of Veterans Affairs. This position involves working collaboratively in an interdisciplinary coordinated care delivery model, ensuring efficient access to care across multiple clinics and specialties. The MSA is responsible for managing patient appointments, coordinating administrative functions, and maintaining effective communication with patients and healthcare teams.

Responsibilities

  • Answer phones and greet patients, relaying messages to appropriate staff.
  • Schedule, cancel, and reschedule patient appointments and consults, interpreting and verifying provider orders according to VHA national scheduling guidelines.
  • Enter no-show information and monitor appointment requests from multiple electronic sources.
  • Verify and update patient demographics and insurance information during check-in.
  • Coordinate administrative functions related to emergency and non-emergency transfers to other VA facilities or private hospitals.
  • Recommend changes to existing clinic procedures based on current administrative guidelines.
  • Coordinate with the patient care team to review clinic appointment availability and make necessary adjustments.
  • Process incoming patient secure messaging through MyHealthyVet and coordinate with the care team as appropriate.
  • Participate in team huddles and meetings to manage patient care and share information with the interdisciplinary team.
  • Identify incomplete encounters and communicate findings to providers, entering appropriate information into the electronic record.

Requirements

  • U.S. Citizenship is required.
  • One year of experience equivalent to the GS-5 grade level, including answering phones, scheduling appointments, and coordinating administrative functions.
  • Demonstrated ability to communicate effectively with a wide range of medical clinicians and internal/external customers.
  • Advanced knowledge of healthcare processes related to scheduling and patient flow.
  • Ability to independently set priorities and organize work to meet deadlines.

Nice-to-haves

  • Experience with electronic health records and patient management systems.
  • Knowledge of medical terminology and healthcare policies.
