About the position

The Advanced Medical Support Assistant (MSA) position is a foundational role within the Veterans Health Administration (VHA) Patient Aligned Care Team (PACT) initiative. This role is critical in providing specialized and expert administrative patient support while working collaboratively in an interdisciplinary coordinated care delivery model. The MSA is responsible for a wide range of clinical flow processes related to access to care across multiple clinics, specialties, and community resources. The position requires specialized administrative judgment and the ability to recommend changes to existing clinic procedures based on current administrative guidelines. The Advanced MSA coordinates with the patient care team to review clinic appointment availability to ensure that clinic schedules are closely monitored and adjusted as necessary to effectively support the needs of the clinics. The MSA's major duties include scheduling, canceling, and rescheduling patient appointments and consults, entering no-show information, preparing for clinic sessions, ensuring encounter forms are completed, and monitoring both inpatient and outpatient appointments. The Advanced MSA may serve in various areas, including the Chief of Staff, Dental, Emergency Medicine, Health Administration, Geriatrics and Extended Care, Community Based Clinics, Nursing Service, Primary Care, Social Work Service, and Specialty Care. The work schedule is full-time, with a variety of shifts available, including the possibility of rotating weekends and holidays. This position is not virtual and does not offer relocation or recruitment incentives.

Responsibilities

  • Scheduling, canceling, and rescheduling patient appointments and/or consults.
  • Entering no-show information into the system.
  • Preparing for clinic sessions and ensuring encounter forms are completed.
  • Monitoring both inpatient and outpatient appointments for areas of responsibility.
  • Coordinating with the patient care team to review clinic appointment availability and utilization.
  • Recommending changes to existing clinic procedures based on administrative guidelines.
  • Participating in team huddles and meetings to manage patient care and share information with the interdisciplinary team.
  • Managing patient systems to verify and validate accuracy and resolve issues.

Requirements

  • U.S. Citizenship is required to apply for this job.
  • Proficiency in written and spoken English is mandatory.
  • Six months of experience in clerical, office, or other work that indicates the ability to acquire the necessary knowledge and skills for the position.
  • One year above high school education or a combination of experience and education is acceptable.
  • One year of experience equivalent to the GS-5 grade level is required for GS-6 qualification.

Nice-to-haves

  • Experience in a healthcare setting is preferred.
  • Knowledge of medical terminology is beneficial.
  • Familiarity with electronic health record systems is a plus.
