About the position

The Advanced Medical Support Assistant (MSA) position at the U.S. Veterans Health Administration involves providing essential administrative support to clinic operations. The role focuses on ensuring timely patient care through effective scheduling, communication, and management of clinic workflows. The MSA will work closely with healthcare teams to facilitate patient appointments, manage inquiries, and maintain operational efficiency within the clinic.

Responsibilities

  • Set and adjust short-term priorities to ensure timely accomplishment of workload.
  • Perform a variety of administrative functions supporting clinic operations, including managing incoming and outgoing communications, scheduling appointments, and maintaining supplies.
  • Promote team building and improve business practices within the clinic.
  • Collect and compile information necessary for clinic operations.
  • Follow established scheduling rules and procedures for consultations and appointments.
  • Share pertinent information routinely and accept new ideas for practice integration.
  • Use email and verbal communication effectively in a professional manner.
  • Field and resolve customer complaints, referring unresolved issues to a supervisor.

Requirements

  • U.S. Citizenship is required to apply for this job.
  • Proficiency in written and spoken English is mandatory.
  • Six months of experience in clerical, office, customer service, or administrative work is required, or one year above high school education, or a combination of both.
  • Advanced knowledge of medical terminology and the ability to operate computerized programs for patient information management is necessary.
  • Ability to communicate effectively with a wide range of medical professionals and patients.

Nice-to-haves

  • Experience in a healthcare setting is preferred.
  • Familiarity with electronic health records and scheduling systems is advantageous.
