About the position

The Advancement Operations Specialist at Our Lady of the Lake University plays a crucial role in supporting the Institutional Advancement staff by managing donation processing and enhancing engagement with alumni and university supporters. This position involves ensuring compliance with record-keeping and gift processing guidelines while also contributing to the improvement of business processes. The specialist will collaborate with various teams on fundraising efforts, event planning, and donor relations, while also maintaining office supplies and equipment.

Responsibilities

  • Accurate processing of gifts including cash, online, payroll deduction, stock and wire transfers, and in-kind donations.
  • Oversee the gift acknowledgment process and assist with donor correspondence.
  • Generate select weekly, monthly, and ad hoc reports to support university fundraising and financial reconciliation.
  • Serve as secondary database administrator, assisting with record importing, updating, and maintenance.
  • Collaborate in identifying prospective donors from individual, corporate, and foundation categories.
  • Conduct prospect research using print and online data sources for biographical summaries and meeting briefs.
  • Oversee scholarship and endowment reporting and assist with donor relations activities.
  • Collaborate with Alumni and Family Relations staff on communications, event planning, and stewardship activities.
  • Work with Annual Giving staff on communications, appeal fulfillment, and stewardship activities.
  • Procure and maintain inventory of office equipment and supplies.
  • Draft and process departmental purchase orders for payment transactions.
  • Supervise work-study students and fulfill other duties as assigned.

Requirements

  • Bachelor's degree preferred; 3-5 years of professional fundraising work experience required in lieu of degree.
  • Experience in nonprofit fundraising operations and data management is required.
  • Higher education administrative operations experience preferred.
  • Working knowledge of Microsoft Office 365, including Teams, Outlook, Word, Excel, and PowerPoint required.
  • Working knowledge of Blackbaud Raiser's Edge or similar fundraising software required.
  • Excellent written and oral communication skills, including strong editing skills.
  • Outstanding attention to detail in producing written materials and maintaining database records.
  • Ability to multi-task, prioritize projects, and meet deadlines.
  • Self-starter and goal-oriented with collaborative work skills.
  • Ability to interface professionally with various stakeholders and maintain confidentiality.
