About the position

The Affiliate Operations Coordinator at Physician Affiliate Group of New York (PAGNY) is responsible for providing comprehensive administrative support to the Human Resources team. This role involves maintaining employee files, ensuring compliance with required standards, and acting as a liaison for employee inquiries. The coordinator will assist with onboarding, track continuing medical education credits, and manage various HR-related transactions, while also supporting on-site leadership and overseeing office operations.

Responsibilities

  • Provide administrative support to the HR team and maintain employee file compliance.
  • Field employee questions and concerns, serving as the outward-facing team member for the HR Department.
  • Assist with onboarding processes and track continuing medical education (CME) credits.
  • Execute regular file audits to identify missing documents and expired certifications.
  • Manage compliance with mandatory training, performance assessments, and professional licensure.
  • Maintain detailed calendars and prioritize meeting requests and logistics.
  • Support on-site leadership by attending meetings, taking minutes, and preparing correspondence and financial reports.
  • Oversee conference room scheduling and related catering orders for special events.
  • Operate and maintain standard office inventory and report maintenance issues as needed.
  • Sort and distribute incoming mail and organize outgoing courier deliveries.
  • Prepare and review invoices and expense reports in a timely manner.

Requirements

  • Associate degree preferred or equivalent combination of education and training.
  • 2-4 years of experience in a healthcare setting.
  • Proficient in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
  • High attention to detail and ability to prioritize tasks in a deadline-driven environment.
  • Excellent interpersonal and communication skills.
  • Demonstrated integrity, professionalism, and discretion.
