About the position

The Air Operations Coordinator is a pivotal role responsible for the preparation and coordination of documentation necessary for the efficient, cost-effective, and lawful execution of all export activities. This position entails planning and executing logistics requirements to ensure successful export orders that meet customer satisfaction. The coordinator will oversee daily operations related to Air Exports, ensuring compliance with TSA documentation guidelines and managing the entire shipment process from cargo pickup to delivery. In this role, the coordinator will check freight rates applied by carriers against service contracts, schedule loading appointments based on product availability, and take ownership of customer issues to facilitate timely resolutions. The position requires processing all necessary documents in accordance with carriers, customs, and customer requirements, ensuring that all standards are met. The coordinator will also communicate promptly with overseas agents and clients, providing updates on shipment statuses and handling inquiries. The Air Operations Coordinator will be responsible for monitoring shipment status reporting, ensuring that all measurements and standards are met, and driving continuous improvement opportunities to lower costs. This role involves daily communication with vendors, carriers, and service providers, as well as invoicing and cost confirmations for proper job management. The coordinator will track shipments and provide status updates, monitor agreed service levels, and identify root causes when targets are not met, advising management of potential service failures or trends. Other related duties may be assigned by management as needed.

Responsibilities

  • Handles day to day operations for Air Exports.
  • Ensures local branches comply with TSA documentation guidelines.
  • Coordinates cargo pickup, transfer, and monitors the entire shipment process.
  • Checks freight rates applied by carriers against service contracts or agreed rates and requests freight payment when applicable.
  • Schedules loading appointments with plant and/or customer based on product availability and requests service with the depot/truck company.
  • Takes ownership of customer issues and facilitates timely and effective resolution to achieve customer satisfaction.
  • Processes all documents in accordance with carriers, customs, and customers in a timely manner, meeting standards requirements.
  • Communicates promptly with overseas agents and clients, including pre-alerts, rate requests, and shipment statuses.
  • Reviews and daily monitors shipment status reporting to ensure all measurements standards are met.
  • Understands and is familiar with KPIs/procedures/objectives and acts in line with set targets.
  • Drives continuous improvement opportunities to lower costs.
  • Communicates daily with vendors, carriers, and various service providers.
  • Invoicing and cost confirmations for proper Job Management.
  • Tracks shipments and provides status updates to customers and agents.
  • Monitors agreed service levels, identifies root causes when targets are not met, and advises management of potential service failures and/or trends.
  • Performs other related duties as assigned by management.

Requirements

  • High school diploma or general education degree (GED) required.
  • At least 1 and typically 3 years of experience in a related field.
  • Requires Hazmat Certification.
  • Requires IATA Certified Training Professional (CTP).
  • Requires Transportation of Dangerous Goods (TDG) Certificate.
  • Extensive knowledge of export documentation, including the creation of BLs, HAWBs, Manifests, and MAWBs.
  • Proficient with Cargo Wise and import/export management systems.
  • Experienced in preparing shipping instructions for consolidated cargo.
  • Knowledgeable in scheduling domestic shipments via trucking companies.
  • Comprehensive understanding of AMS, 7512s, TSA, and US Customs regulations.
  • Experienced with General Cargo and DG/Hazardous Shipments.
  • In-depth knowledge of US Government regulations.
  • Excellent organizational, communication, and customer service skills.
  • Strong computer skills, including proficiency in the Microsoft Office suite.
  • Detail-oriented, able to multitask, and meet deadlines.
  • Ethical and a team player.

Nice-to-haves

  • Cargo Wise knowledge is preferred.
