About the position

The Ambulatory Operations and Informatics Lead at The University of Kansas Health System plays a crucial role in enhancing the efficiency and effectiveness of ambulatory care through the application of informatics knowledge. This position involves collaboration with operational leadership, end users of the electronic health record (EHR), and IT staff to develop and implement standard workflows, assess usability, and recommend optimizations. The lead will serve as the informatics expert on large ambulatory projects, executing these initiatives by leading operational and informatics workflow analysis, design, build, testing, communication, and key performance indicator (KPI) development. The role requires a deep understanding of operational goals to drive optimizations that align with these objectives. In this position, the lead will oversee EHR and operational transformational governance groups, providing essential workflow expertise for the ambulatory system. Responsibilities include leading large health system-wide projects, ensuring the implementation of standard workflows at go-live, and guiding project team members through technology governance bodies. The lead will also advise on regulatory, compliance, and quality standards of EHR documentation, utilizing this knowledge to modify and optimize standard work and system builds. By rounding in clinics, the lead will gain insights into operational workflows and lead EHR optimization efforts to meet ambulatory operational goals and compliance standards. The role demands independent identification of improvement opportunities and the application of change management leadership to guide teammates and operational leaders. The lead will employ Lean methodologies to document standards and enhance ambulatory efficiency, while also identifying barriers to the adoption of standard workflows. Establishing relationships with ambulatory department leadership, physicians, and allied health staff is essential for success in this role. The lead will also support advanced distributed build in the system, triage optimization requests, and ensure alignment of operational and technological components with expected standard workflows in clinics. Additionally, the lead will collaborate with operational leaders to develop policies and procedures applicable to ambulatory practices, and assist in creating reports to measure adherence to these standards.

Responsibilities

  • Leads large health system wide projects.
  • Demonstrates an expert understanding of clinic systems.
  • Executes projects by leading operational and informatics workflow analysis, design, build, testing, communication plans, KPI development and escalation of barriers prior to and after go-live.
  • Ensures standard workflows are implemented at go-live.

  • Understands and advises on regulatory, compliance and quality standards of EHR documentation.
  • Utilizes knowledge to modify and optimize standard work and change system build.
  • Leads EHR and operational governance groups providing ambulatory informatics and operational expertise.
  • Demonstrates expert understanding and expertise of clinical systems and operational standards.
  • Utilizes knowledge to review, analyze, and evaluate user and clinical system needs.
  • Rounds in clinics to understand operational workflows.
  • Leads ambulatory EHR optimization efforts ensuring ambulatory operational goals and compliance standards are met.
  • Independently identifies opportunities for improvement.
  • Provides change management leadership and guidance to teammates and operational leaders.
  • Utilizes and leads team members to utilize Lean methodologies to document standards and increase ambulatory efficiency.
  • Identifies opportunities for adoption of standard workflow and removes clinic barriers to adoption.
  • Identifies opportunities to revise standard work gaining approval from leadership and executing changes across all ambulatory clinics.
  • Ensures a consistent experience for patients, providers, and staff.
  • Escalates to ambulatory or information technology as appropriate.
  • Researches and advises leadership on best practices utilizing benchmarking resources.
  • Establishes relationships with ambulatory department and division leadership, physicians, and allied health staff.
  • Leads and develops scope of ambulatory informatics role in the distributive build program.
  • Supports advanced distributed build in the system.
  • Guides and advises team members.
  • Triages and prioritizes optimization requests ensuring communication with leadership on this prioritization.
  • Validates and approves educational materials developed by the learning and development and credentialed training teams.
  • Ensures operational and technological components align with expected standard workflows in clinics.
  • Partners with operational leadership to develop policies and procedures that apply to the ambulatory practices.
  • Assists in developing reports or observation tools to measure adherence.
  • Collaborates with operational leaders to develop strategic plans.
  • Serves as an expert on informatics best practices.
  • In partnership develops ambulatory vision and corresponding implementation strategy.
  • Coaches and mentors team members.
  • Develops and lead ambulatory informatics and operations program standard documents at the direction of leadership.

Requirements

  • High School Diploma or GED.
  • Bachelor's Degree.
  • Five (5) years of informatics experience.
  • Professional Clinical License or Certification in Kansas or Missouri.
  • Minimum of three (3) years direct patient care experience; literature search/review experience.
  • Demonstrates knowledge of computers and desktop software.
  • Ability to work autonomously, demonstrating self-motivation and creativity.
  • Good communication, writing, organizational and presentation skills.
  • Ability to effectively interact with multidisciplinary teams including physicians, administrative staff, clinical personnel, and peers.
  • Demonstrates persistence in solving problems.
  • Must work with limited resources within designated time restraints.
  • EPIC Proficiency/Certification within 6 months of orientation completion as designated by role requirements.
  • Informatics certification within 1 year of orientation completion; as designated by role requirements.
  • Able to receive verbal communications from users, vendors and other employees in English.
  • Able to verbally communicate with users, vendors and other employees in English.
  • Able to read technical documentation manuals.
  • Able to use the phone and a computer.
  • Able to receive directions and follow through to completion.
  • Basic knowledge of Microsoft products.
  • Able to solve common design and development problems.
  • Able to apply critical thinking and interpersonal skills.
  • Has reliable transportation available in order to attend meetings and support users in multiple locations.
