The Ambulatory Operations Coordinator will provide leadership and departmental support around system initiatives, strategies, and projects. This role will focus on both clinical and non-clinical areas to identify trends, review and create metrics to measure successes, find gaps and trends, and implement process corrections. The Coordinator will assist with any patient care needs when appropriate, manage clinic flow, and perform other duties that will contribute to the growth of the division. The position requires the ability to coordinate daily activities, plan and schedule work assignments, and anticipate and resolve problems. The Coordinator will also investigate patient satisfaction discrepancies and make recommendations to ensure that future discrepancies are not repeated. Acting as a Subject Matter Expert for the department, the Coordinator will ensure that clinic supplies are ordered and maintained within budget, while also creating and maintaining metrics to hold teams accountable for their performance. Regular reporting and tracking of trends will be essential, along with the creation of action plans to address any negative trends identified. Standardized work practices will be established and maintained in collaboration with the leadership team, ensuring that departmental SOPs and best practices are published and followed.

Responsibilities

  • Provide leadership and departmental support around system initiatives, strategies, and projects.
  • Assist with patient care needs when appropriate and manage clinic flow.
  • Develop trainings and roll out to staff within guidelines of departmental initiatives.
  • Train staff, track and monitor trainings, and identify gaps or needs in trainings.
  • Create strategies for departments that support initiatives, goals, budgets, staffing, etc.
  • Implement strategic plans and carry through to completion.
  • Maintain department goals and tasks to keep them on schedule.
  • Run projects and pull identified resources or work groups when needed for various departmental needs or issues.
  • Support leader in day to day work flows and coverage.
  • Ensure clinical or non-clinical needs will be met daily.
  • Adjust staffing or handle staffing at direction of leadership as needed.
  • Delegate assignments and tasks.
  • Coordinate the daily activities of the team and plan work assignments when needed.
  • Anticipate and resolve problems.
  • Investigate patient satisfaction discrepancies and make recommendations to resolve them.
  • Act as Subject Matter Expert for department within scope of practice.
  • Ensure clinic supplies are ordered and within budget.

Requirements

  • High School Diploma or GED required; Associate's Degree preferred.
  • Minimum of 2 years experience in a healthcare ambulatory setting.
