About the position

The position involves supporting physicians and clinical staff by managing surgery schedules, preparing surgical packets, and ensuring effective communication of patient information. The role emphasizes delivering excellent customer service and patient care while coordinating pre- and post-surgical activities. The individual will work closely with interdisciplinary teams to facilitate surgical care and maintain accurate documentation.

Responsibilities

  • Manage multiple providers' surgery schedules.
  • Prepare surgery packets for physicians.
  • Communicate patient information accurately and efficiently.
  • Demonstrate respect, dignity, kindness, and empathy in interactions with patients and staff.
  • Coordinate with department leadership to manage daily activities.
  • Communicate changes and updates to all departments for quality care.
  • Perform patient interviews to assess pre-operative needs.
  • Answer and screen telephone calls, providing timely information to patients.
  • Post surgical case information at operating facilities.
  • Document patient information and distribute it to key personnel.
  • Coordinate pre-/post-surgical care for patients.
  • Notify patients of all surgery-related appointments in writing.
  • Ensure proper equipment availability for surgeries.
  • Manage assigned block time and communicate with other surgery schedulers.
  • Maintain OR Utilization report for surgical facilities.
  • Document surgery or procedural information on physician calendars.
  • Assist with scheduling tests and outside physicians as needed.
  • Complete authorization or work with the authorization team for pre-certification.
  • Communicate with Financial Counselors regarding surgeries.

Requirements

  • High School diploma or equivalent education required.
  • Associates or Bachelor's degree preferred.
  • Completion of an accredited medical secretarial or business program preferred.
  • Health care experience preferred.
  • Essential keyboarding skills.
  • Computer and word processing knowledge required.
  • Medical terminology knowledge preferred.
  • Knowledge of CPT coding preferred.
  • Effective interpersonal, communication, and teamwork skills required.
  • Above average organizational skills with attention to detail.
  • Strong reading, writing, spelling, grammar, punctuation, and mathematical skills required.
  • Ability to maintain composure under pressure.

Nice-to-haves

  • Experience in a healthcare setting.
  • Familiarity with medical terminology and CPT coding.
