About the position

The American Heart Association Coordinator/Administrative Assistant is responsible for providing high-level administrative support to the Education Department and instructors. This role involves coordinating AHA classes, maintaining student and class files, and handling confidential information. The position requires strong secretarial skills and the ability to manage various organizational duties, including composing correspondence and preparing reports.

Responsibilities

  • Types letters, statements, narrative and statistical reports.
  • Establishes and maintains a variety of files and records including student files, surveys, and accreditation reports.
  • Coordinates AHA training center activities as well as NAEMT PHTLS classes, including monitoring instructor activities.
  • Completes a BLS CPR instructor class within 90 days to assist in teaching CPR courses.
  • Assists with the preparation and arrangements for special events when necessary.
  • Maintains confidential personnel files.
  • Provides secretarial services to the Education Department and CEO.
  • Provides clerical duties for MFR, EMT, and Paramedic initial education courses.
  • Operates all office machines and duplication equipment.
  • Ability to establish and maintain effective working relationships with co-workers and employees.
  • Registers students and provides certifications through training software program.

Requirements

  • High school diploma or GED required.
  • Basic understanding of computer logic and various software applications including Microsoft and Google programs.
  • Excellent communication skills and attention to detail.
  • Ability to establish a good rapport with staff.
  • Knowledge of the field of assignment sufficient to perform thoroughly and accurately the full scope of responsibility.
  • Must meet performance-based physical requirements of a standard office environment.
  • Current BLS/CPR Instructor preferred.
