About the position

The AP/AR Clerk position at Robert Half involves a blend of accounts payable and receivable responsibilities, focusing on processing payments, resolving discrepancies, and maintaining customer records. This role is essential for ensuring accurate financial transactions and supporting the overall financial health of the organization.

Responsibilities

  • Ensure the accurate and prompt processing of account payment information and customer orders.
  • Take charge of the 3-way match process - matching vendor invoices to purchase orders and receiving reports.
  • Address any discrepancies in invoices by contacting vendors and resolving issues.
  • Review vendor shipments for errors and issue chargebacks as necessary.
  • Monitor accounts receivable reports for delinquency and conduct account balancing.
  • Track vendor credits for returns, rebates, and advertising and prepare/submit rebate spreadsheets to vendors for reimbursement.
  • Post vendor invoices to accounts payable and reconcile and post credit card payments to the appropriate accounts.
  • Maintain confidentiality of customer account and sales information.
  • Execute account collection as required.
  • Maintain and update various spreadsheets and logs for record-keeping purposes.

Requirements

  • Proficiency in account coding and auditing is required.
  • Demonstrated experience with accounting software systems such as ADP - Financial Services, Concur, and ERP Solutions.
  • Minimum of 3 years' experience in a similar role, preferably within the printing/publishing industry.
  • Thorough understanding and hands-on experience with accounts payable (AP) and accounts receivable (AR).
  • Ability to carry out accounting functions and billing functions efficiently.
  • Adept at utilizing various accounting tools and software to enhance work efficiency.
  • Exceptional organizational skills and attention to detail.
  • Strong communication skills, both written and verbal.
  • Proven ability to work both independently and as part of a team.
  • Bachelor's degree in accounting, finance, or a related field is preferred.
