About the position

The AP/AR Specialist at Cal-a-Vie Health Spa is responsible for managing accounts payable and receivable, payroll support, and various accounting and clerical tasks. This role is essential for maintaining vendor relationships, processing invoices, and ensuring accurate financial records within a luxury spa environment. The position requires strong organizational skills and the ability to handle multiple tasks efficiently in a high-stress setting.

Responsibilities

• Set up and maintain vendor files for accounts payable.
• Process invoices for payments and maintain purchase order files.
• Mail checks and file paperwork related to accounts payable.
• Request and maintain Certificate of Liability forms, W-9 forms, and Hold Harmless Agreements from vendors.
• Enter document information on vendor log and keep current forms in binder.
• Process resale certificates and complete credit applications for vendors.
• Oversee guest charges from other departments for accounts receivable.
• Prepare and send guest statements via email or mail when requested.
• Audit guest bills when questions arise.
• Maintain petty cash, including keeping a running total and reimbursing managers/employees for receipts.
• Replenish front desk cash bag and reconcile receipts weekly.
• Assist in creating Accounting/Admin binders and maintaining accounting storage boxes.
• Process and mail year-end tax forms such as W-2, 1099, and 1096.

Requirements

• High School Diploma or GED.
• Minimum of five (5) years experience in accounts payable, accounts receivable, payroll support, and clerical tasks.
• Understanding of debits, credits, and general ledger accounts.
• Exceptional interpersonal, verbal, and written communication skills.
• Proficiency in Microsoft Excel and Word.
• Experience with accounting and hospitality software.
• Strong organizational skills and attention to detail.
