About the position

The Accounts Payable Office Manager at Sustineo Construction is responsible for overseeing the accounts payable process while managing office operations. This role requires strong organizational skills and effective communication, as the individual will work closely with project administrators, office staff, and project accountants to ensure timely and accurate processing of invoices and payments.

Responsibilities

  • Process and manage all accounts payable transactions, ensuring accuracy and compliance with company policies.
  • Scan, code, and route accounts payable invoices through Sage Paperless.
  • Match invoices to receivers and purchase orders (3-way match) and pursue necessary approvals.
  • Maintain vendor relationships and resolve discrepancies.
  • Oversee daily office operations, ensuring a productive and organized work environment.
  • Manage office supplies and inventory, placing orders as necessary.
  • Coordinate meetings, appointments, and travel arrangements for staff.
  • Support the tracking of project deliverables and ensure effective communication within the office.
  • Ensure accurate coding of data to both the general ledger and job cost ledger.
  • Collaborate with project managers to coordinate financials and report project metrics.
  • Organize documents for billings, materials, and subcontractor costs.
  • Manage subcontractor compliance, including insurance and lien waivers.
  • Ensure all documents are properly inserted into Sage and that contract documents are executed correctly.
  • Track weekly meetings and collaborate on project issues requiring attention.

Requirements

  • High School diploma or equivalent.
  • Strong computer, telephone, proofreading, and filing skills.
  • Highly organized, thriving in systematic and process-driven environments.
  • Excellent writing, documentation, and communication skills.
  • Ability to juggle multiple projects efficiently and maintain a calm, professional demeanor under pressure.
  • Ability to work cooperatively in a team environment.

Nice-to-haves

  • Positive attitude focused on building solid working relationships.
  • Proficient in Excel and the MS Office Suite (PowerPoint, Access, Word).
  • Strong communication skills for interacting with vendors, field workers, and office staff.
  • Understanding of budgets, equipment, change orders, scopes of work, and job costs.
  • Familiarity with construction projects, vendors, subcontractors, and solar/electrical systems is a plus.
  • Knowledge of construction job costing and materials.
  • Experience with Sage 100 Software and Sage Paperless Contractor preferred.
