About the position

The Administrative Specialist, Journeyman position at Nationwide IT Services involves providing direct administrative and executive assistant support to a Senior Executive Service (SES) member within the SAF/AQD at the Pentagon. This role is critical in ensuring the smooth operation of the office by managing calendars, travel arrangements, and correspondence, while also supporting high-level meetings and protocol activities.

Responsibilities

  • Perform administrative duties such as maintaining GO/SES calendars and managing travel arrangements.
  • Assist in voucher processing and maintain file plans and records.
  • Execute government administrative policies and greet visitors.
  • Manage correspondence and action item tasking, including monitoring deadlines in TMT.
  • Support leadership in a high visibility/high pressure front office environment.
  • Process travel reservations, authorizations, and vouchers using DTS.
  • Manage all Protocol-related activities and initiate high-level meetings.
  • Screen visitors and phone calls, and install administrative procedures for subordinate units.
  • Review outgoing correspondence for compliance with handling requirements for classified material.
  • Collaborate with Military Assistant to resolve process bottlenecks and backlogs.
  • Assist actions officers in executing conference preparations, including high-level VTCs.

Requirements

  • A bachelor's degree in business or related discipline.
  • At least 3 years of experience in related duties.
  • Proficiency with MS Access, Air Force Public Information Management System, TMT, and AF Portal.
  • Attention to detail and knowledge of JTFR, Privacy Act regulations, and CUI handling.
  • 6 years of relevant work experience may substitute for a BA/BS degree.
  • An associate degree plus 4 years of relevant work experience may substitute for a BA/BS degree.
