About the position

The AR Specialist position at Solugenix is a contract-to-hire opportunity based in Irvine, CA, offering a hybrid work model with three days onsite and two days remote. This role is crucial for managing accounts receivable and collections for approximately 500 customer accounts. The successful candidate will be responsible for ensuring timely collections, maintaining communication with customers regarding payment statuses, and providing thorough documentation of all customer interactions. The position requires a proactive approach to resolving discrepancies and disputes, as well as performing account reconciliations as necessary. The ideal candidate will possess strong organizational skills and attention to detail, particularly in a paperless environment, and will be expected to apply payments accurately to assigned accounts, including checks, ACH/EFT, and credit card payments. This role is expected to last for over six months, with the potential for permanent employment based on performance and business needs.

Responsibilities

  • Responsible for timely collection of assigned accounts, approximately 500 customer accounts.
  • Consistent follow-up with customers regarding payments and payment status.
  • Provide thorough documentation of customer interaction through notes and within the accounting system.
  • Communicate account statuses to Sales and Credit & Collection Manager in a timely fashion.
  • Research customer disputes promptly.
  • Perform account reconciliations as needed.
  • Provide customers with requested documentation, such as invoices, credits, PODs, and any other billing backup as needed.
  • Application of payments to assigned accounts including check, ACH/EFT, and credit card payments.

Requirements

  • Bachelor's Degree in accounting, finance, or business.
  • 3-5 years of experience with AR/Collections.
  • Willingness to learn processes and eagerness to master them.
  • Excellent verbal and written communication skills via email and over the phone.
  • Investigative and problem-solving mindset.
  • Ability to research, identify, and resolve discrepancies independently or within a team.
  • Strong attention to detail and organizational skills in a paperless environment.
  • Strong Excel skills (formulas, Vlookup's, etc.).
  • Prior experience with JDE / SAP preferred; enterprise accounting software is required.
  • Salesforce experience preferred but not required.
