About the position

The Morton Arboretum is a world-renowned nonprofit dedicated to the vision of creating a more beautiful world where people and trees thrive together. We recently received a grant from the Institute of Museum and Library Services (IMLS) that will allow us to expand our Arborversity staff training program and develop it as a model for public gardens throughout North America. The Arborversity Project Coordinator position will play an important project management role, helping to convene workshops, coordinate partner communications, and keep key project activities on track. We are looking for a highly organized, dynamic individual who is excited about helping train the next generation of public garden professionals. This position provides key support for a grant-funded project aimed at creating and sharing a curriculum to advance training for horticulture staff working at public gardens and arboreta using the Arboretum's learning management system (Arborversity). The coordinator will be responsible for cultivating and maintaining a nationwide network of project partners at other public gardens and arboreta, setting up and facilitating virtual meetings and workshops, and serving as a hub of project documents and communication. Once the curriculum has been established, this position will also play an important role in helping administer content and users in Arborversity and creating documentation to support its implementation at partner gardens. Funding for this position is temporary and expected to last through August 2027.

Responsibilities

  • Help recruit and establish relationships with partner gardens and arboreta across the country.
  • Work with internal project team to elicit, document, and evaluate feedback from project partners related to project materials and resources.
  • Organize, support, and report on project meetings and workshops.
  • Work with project director to create and share agendas, create presentation materials, schedule meetings, take notes, and share action items.
  • Track project progress and share regular updates with the core team and project partners.
  • Help prepare, organize, and share project-related assets, including documents, timelines, course materials, reports, and surveys.
  • Serve as the project administrator for Arborversity, the Arboretum's Docebo-based Learning Management System.
  • Import and onboard new users, assist in creating notifications and workflows, and develop basic onboarding materials for project partners and their staff.
  • Manage grant-related documents, including contracts, invoices, timelines, and progress reports.
  • Represent the project among professional networks and at conferences and workshops.

Requirements

  • Related experience coordinating complex, deadline-oriented, concurrent projects.

  • Excellent written and oral communication skills.
  • Effective time-management skills and a positive and flexible approach to the job.
  • Willingness to learn new technologies and help others learn to do the same.
  • Strong interpersonal skills, with the ability to work in a team environment with all levels of internal management and staff, as well as with external professionals.
  • Proficiency with Google applications (Docs, Sheets, Slides, etc.) and Zoom.
  • Strong interest in acquiring a thorough understanding of public horticulture and/or horticulture training.
