About the position

The Artistic Coordinator and Production Manager is a part-time role focused on supporting the Artistic Director in managing concert bookings and production for a historical jazz venue. This position involves coordinating logistics for approximately 32 concerts a year, including contract management, stage setup, and artist liaison, while also supporting fundraising and special events. The role requires on-site presence for concerts and offsite work for other responsibilities.

Responsibilities

  • Assist the Artistic Director in generating offers and booking performers for live concert performances, livestream performances, fundraisers, and special events.
  • Review and track all offers, contracts, and riders.
  • Submit check requests for artist payments and track other required data for the show.
  • Work with the Artistic Director to set the performance calendar and communicate to all departments.
  • Coordinate marketing information for the series, including writeups, photos, and music videos with agents/musicians and marketing.
  • Ensure that hotel reservations and other contractual obligations for artists' travel are met, working closely with Operations.
  • Manage the production of each concert, including liaising with artists on rider and backline needs.
  • Ensure rooms are booked by notifying Operations.
  • Advance artists by communicating in advance to ensure they have all necessary information, including directions, load-in and sound check time, hotel information, and any special requests.
  • Confirm backline needs and rent equipment as necessary.
  • Coordinate with/manage sound engineer and stage setup.
  • Purchase snacks and drinks per rider and manage volunteers to do so.
  • Coordinate meals for artists with caterers/restaurants.
  • Maintain backline instruments and set up stage lighting, having a general knowledge of how to operate it.
  • Assist with the shutdown of the facility after concerts, ensuring all backline is properly stowed.
  • Perform some marketing, social media, and other administrative responsibilities as necessary.

Requirements

  • Bachelor's degree (preferably in music or a music-related field) or at least 5 years of related experience, preferably both.
  • Understanding of contracts and experience administering contracts is a plus.
  • Excellent knowledge of sound systems and backline/music instruments.
  • General knowledge of lighting systems.
  • Excellent organization, written, and verbal skills.
  • Strong attention to detail and problem-solving abilities under pressure.
  • Strong computer skills, including familiarity with Word, Excel, and Microsoft Outlook.
  • Comfortable with iPad, iPhone, and laptop computers.
  • Good with numbers.
  • Knowledge of VBO, PayPal, and Mailchimp is a plus.
  • Must be able to lift 50 lbs.
