About the position

The Stock Clerk and Receptionist at ASRC plays a vital role in providing clerical support to the Stock Department, ensuring efficient communication and assistance to shareholders and visitors. This position involves a variety of administrative tasks, including answering phones, greeting visitors, assisting with heirship files, and supporting the Stock Technicians in their duties. The role is essential for maintaining organization within the department and facilitating smooth operations during events such as elections and annual meetings.

Responsibilities

  • Greet visitors and determine the nature of their business, announcing them to appropriate personnel and escorting them as needed.
  • Assist Stock Technicians with heirship research, including communication with outside agencies and gathering necessary documents from shareholders.
  • Conduct second reviews of Stock Technician work items for accuracy.
  • Maintain organization of files according to department requirements, performing basic filing and recordkeeping.
  • Assist ASRC shareholders with inquiries related to their stock and dividends.
  • Support the yearly ASRC Election, Annual Meeting, and Informational meetings, including village travel.
  • Assist Stock Technicians at local outreach events.
  • Answer incoming telephone calls, determining the purpose of callers and routing calls appropriately, while taking messages and scheduling appointments.
  • Provide information about the stock department, including directions and other relevant details to callers.
  • Track calls and follow-up communications with shareholders.
  • Update stock information and maintain materials in an orderly manner.
  • Receive and distribute mail, documents, packages, and courier deliveries.
  • Perform various administrative and clerical support tasks.

Requirements

  • Strong knowledge and sensitivity to the Inupiat culture.
  • Ability to accurately type a minimum of 40 words per minute.
  • Good working knowledge of English, including grammar, punctuation, and spelling.
  • Ability to operate standard office machines and understand efficient office procedures.
  • Friendly and courteous demeanor when answering telephones and greeting the public.
  • Clear and understandable verbal communication skills, along with legible writing ability.
  • High school graduate or equivalent education.
  • One year of clerical work experience.
  • Ability to speak and understand the Inupiaq language is preferred.

  • Ability to read and interpret safety rules and operating instructions.
  • Experience in writing routine reports and correspondence.
  • Ability to speak effectively before groups.
