About the position

The Asset/Move Project Manager II (Relocation Project Manager) at Element Consulting is responsible for the comprehensive management of Furniture, Fixtures, and Equipment (FF&E) for various projects, including new constructions, renovations, and swing space projects. This role encompasses a wide range of responsibilities, from programming and specification to drawing review, budget tracking, procurement coordination, and scheduling with construction teams. The position also involves overseeing move management for all projects, which includes creating move scopes, analyzing bids, tracking budgets, coordinating moves, and ensuring that all activities are completed to achieve full functional occupancy of new and renovated buildings. In this role, the Project Manager will provide Furniture/Equipment/Relocation Project Management Services with a strong emphasis on FF&E selection, procurement coordination, and purchasing. Responsibilities include strategic oversight of all FF&E programming, budgeting, quotes, procurement, scheduling, installation, and coordination of pre-move, move, and post-move activities. The Project Manager will work closely with the College Project Director (CPD) and the Manager of the Relocation Project Management team to ensure that all project requirements are met efficiently and effectively. The position requires collaboration with various stakeholders, including Procurement, Project Architects, and Building User Groups (BUG), to identify project scope, budget, schedule, and FF&E requirements. The Project Manager will tour college facilities to understand the Master Plan for new and renovated buildings, identify potential swing spaces, and coordinate the necessary arrangements for these spaces. Additionally, the role involves creating FF&E budgets, attending weekly project meetings, reviewing programming and design documents, and ensuring that all FF&E specifications are accurately prepared and coordinated with vendors. The Project Manager will also be responsible for coordinating the relocation of existing furniture and equipment, working with the Technology Project Manager for IT equipment procurement and installation, and ensuring that all project budgets and schedules are adhered to. This includes providing value engineering efforts as needed, coordinating logistics for FF&E delivery and installation, and maintaining all related documentation throughout the project lifecycle. Finally, the Project Manager will oversee the project close-out efforts for the FF&E and Move services, providing status reports and other information as required.

Responsibilities

  • Manage Furniture, Fixtures, and Equipment (FF&E) for new, renovated, and swing space projects.
  • Oversee move management including move scope creation, bidding, and analysis of bids.
  • Track budgets and coordinate procurement for all FF&E.
  • Schedule and oversee installation and punch list activities for FF&E.
  • Coordinate with the College Project Director and Manager of Relocation Project Management team.
  • Work with Project Architects and Building User Groups to identify project scope and requirements.
  • Create FF&E budgets and validate them at key project milestones.
  • Attend weekly project meetings to ensure accurate FF&E specifications and layouts.
  • Review programming, design, and construction documents for coordination with FF&E vendors.
  • Plan relocation of existing furniture and equipment with Building User Groups.
  • Coordinate IT equipment procurement and installation with the Technology Project Manager.
  • Ensure project budgets and schedules are met through value engineering efforts.
  • Coordinate logistics for timely FF&E delivery and installation.
  • Maintain all FF&E and move management documentation throughout the project lifecycle.
  • Coordinate project close-out efforts for FF&E and Move services.

Requirements

  • 4-year College Degree in Architecture, Interior Architecture, Interior Design, Construction/Project Management, Planning, Facilities Management, or related area.
  • 10-18 years of project management and coordination experience in Move/Relocation Management, Project Management, Interior Design, or Facilities Management.
  • Ability to read architectural and furniture drawings.
  • Knowledge of furniture and equipment specifications and procurement.
  • Strong written and oral communication, organizational, and interpersonal skills.
  • Proficiency in Microsoft Office software.
  • Proficiency in Adobe Acrobat or Bluebeam software.

Nice-to-haves

  • Educational and Public Works experience.
  • Procurement, FF&E sourcing, or asset management experience.
  • Knowledge/proficiency in AutoCAD software.
  • Proficiency in Visio or Design software.
  • Interior Design Certification CID, CCIDQ Membership with IIDA, AIA, IFMA, LEED Certified.
