About the position

The Assistant Asset Manager at Gilbane Development Company plays a crucial role in supporting the Asset Management Department by implementing best practices across various housing communities. This position focuses on enhancing the performance of market rate, affordable, and student housing properties, ensuring financial health, and maintaining effective communication with internal and external stakeholders.

Responsibilities

  • Assist with the operation and preservation of the entire portfolio by responding to questions and requests from internal and external sources.
  • Review property's profit and loss statements and ensure regular distribution to executive level staff.
  • Maintain financial packages and ensure they are copied monthly and stored appropriately.
  • Monitor and advise on the financial health of each property in collaboration with the Director of Asset Management.
  • Ensure timely collection of revenues and proper processing of payments by management.
  • Oversee on-site managers and third-party property management companies to ensure deadlines are met.
  • Read, interpret, and advise on proposals from third-party and in-house managers.
  • Ensure budget compliance and analyze proposals for expenditures over $3,500.
  • Visit properties to inspect conditions and ensure adherence to lease and company standards.
  • Assist in preparing and reviewing annual operating budgets and income projections.
  • Monitor critical dates in the Asset Management Portfolio and create relevant spreadsheets.
  • Assist with Capital Improvement Plans and ensure timely completion of budgets and contracts.
  • Submit invoices to accounting for approvals.
  • Report high-level issues with tenants, vendors, and contractors to the appropriate asset manager.

Requirements

  • Bachelor's degree or equivalent experience preferred.
  • Minimum 3 years of multifamily and affordable housing property management experience preferred.
  • Proven proactive multitasking skills among various projects and assets.
  • Strong analytical skills with high attention to detail and accuracy.
  • Excellent organizational, time-management, and prioritizing skills.
  • Strong verbal, written, and interpersonal communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Advanced skills in Microsoft Office and Excel; RealPage experience is a plus.
