About the position

The Administrative Assistant at USPL Nutritionals LLC plays a vital role in supporting the finance department and site leadership team by performing essential administrative tasks. This position involves managing schedules, answering phones, providing customer service, and maintaining physical documents and records. The role requires a proactive approach to assist with various activities that support local site operations, including planning events and ensuring compliance with company policies.

Responsibilities

  • Performing professional level tasks that are sensitive in nature, requiring independent judgment, initiative, and tact.
  • Preparing presentations for internal and external audiences, under general direction.
  • Answering the front desk phone, greeting visitors, and accepting incoming and outgoing mail.
  • Preparing shipments and managing filing, copying, and scanning of documents.
  • Handling various projects in Microsoft Excel and scheduling meetings and conferences.
  • Organizing and maintaining necessary confidential files and records.
  • Working independently on special projects with general guidance.
  • Ensuring compliance with Company Safety policies, procedures, GMP's, Ethical Business Practice, and SOPs.

Requirements

  • Bachelor's Degree in a relevant field.
  • Laboratory experience preferred.
  • Proficiency in Microsoft PowerPoint, Excel, and Word.
  • Strong written and verbal communication skills.
  • Excellent clerical and typing skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Self-motivated and customer-focused with a professional demeanor.

Nice-to-haves

  • Experience in a similar administrative role.
  • Familiarity with GMP (Good Manufacturing Practices).
