About the position

The University of Arizona's Department of Intercollegiate Athletics is seeking an experienced professional for the position of Assistant Athletic Director, Ticket Operations and Customer Service. This role is pivotal in developing and implementing ticket operation strategies and best practices for managing ticket purchases across twenty-two sports. The Assistant Athletic Director will manage the day-to-day operations of the ticket operations department, ensuring that the staff is well-prepared to handle customer relations concerns, issues, and questions. This position requires a flexible schedule, including nights and weekends, and may involve travel as needed. In this role, the Assistant Athletic Director will oversee the daily operations of the ticket office, ensuring optimal performance of equipment and managing vendor contracts. The individual will also be responsible for hiring and training staff, establishing performance expectations, and conducting evaluations. Maintaining accurate records of ticket sales, receipts, and disbursements is crucial, as is collaborating with leadership on sales projections to meet revenue goals. The Assistant Athletic Director will implement and manage these goals while overseeing ticket deposits within the Paciolan system and ensuring accuracy in achieving annual goals for each sport. The position also involves reviewing current standards, processes, and policies, making suggestions for improvements, and collaborating with multiple departments, including Development, Ticket Sales, and Marketing, to strategize ticket sales plans. The Assistant Athletic Director will coordinate the design and purchase of season tickets and individual game tickets, manage ticket mailings, and oversee NCAA Championship event ticket distributions in compliance with established regulations. This role is essential for ensuring that the ticket operations department meets its goals and objectives effectively.

Responsibilities

  • Manage daily operations of the ticket office for twenty-two sports, advising staff and ensuring they are prepared to handle customer relations concerns, issues, and questions.
  • Ensure the staffing of the ticket office during normal business hours is prepared and trained.
  • Oversee equipment to ensure performance is at an optimal level.
  • Manage vendor contracts, overseeing repairs and upgrades to maximize the use of equipment.
  • Oversee hiring and training for staff, establish and communicate performance expectations, and conduct performance evaluations.
  • Maintain an accurate record of tickets to athletic events, receipts, and disbursements.
  • Work with leadership on sales projections and balance them against sales numbers for each event.
  • Project sales needs to meet revenue goals and implement and manage these goals.
  • Oversee ticket deposits within the Paciolan system and Business Office, ensuring deposits are verified and accurate in achieving annual goals for each sport.
  • Review current standards, processes, and policies, making suggestions for improvements to meet revenue goals.
  • Collaborate with multiple departments including Development, Ticket Sales, and Marketing on ticket sales plans, strategy, and timelines for twenty-two sports.
  • Prepare needs assessments, recommend improvements, solutions, and strategies for optimization of departmental goals and objectives.
  • Recommend appropriate staffing needs for twenty-two sports in accordance with goals and objectives of leadership in various units.
  • Coordinate the design, layout, and purchase of season tickets to individual game tickets.
  • Organize and coordinate ticket mailings and seat assignments for patrons.
  • Oversee NCAA Championship event ticket distributions in accordance with established departmental, institutional, and NCAA regulations.
  • Ensure oversight of recruit ticket allocations to adhere to established regulations.

Requirements

  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Three years of related work experience or equivalent combination of education and work experience required.
  • Demonstrated extensive knowledge of the Paciolan Ticketing System.
  • Effective and authoritative decision-making skills.
  • Excellent communication skills and the ability to effectively express ideas verbally and in writing.
  • Demonstrated organizational skills, including the ability to plan, establish priorities, and successfully manage multiple priority projects.

Nice-to-haves

  • Master's degree.
  • Direct experience within Division 1 collegiate athletic ticket operations.
