About the position

We are seeking a detail-oriented and reliable Bookkeeper to join our Accounting Department at a well-established sign fabrication and installation company in Hackensack, NJ. The ideal candidate will possess strong accounting or bookkeeping experience, excellent communication skills, and a solid understanding of GAAP (Generally Accepted Accounting Principles). This full-time position offers a competitive salary and benefits, and the successful candidate will play a key role in managing financial transactions and supporting the accounting team.

Responsibilities

  • Process payments in a timely manner, including checks and other types of payments.
  • Communicate with vendors to inquire about invoices and payment statuses.
  • Perform monthly credit card reconciliations, ensuring all transactions are accurately recorded.
  • Obtain and verify source documents such as invoices, receipts, and proof of delivery.
  • Apply expenses to corresponding projects before posting and processing payments.
  • Manage client accounts, including creating profiles, reviewing contracts, and confirming valid sales tax-exempt certificates.
  • Process customer invoices according to company policies and protocols.
  • Respond to client inquiries and resolve billing issues or discrepancies.
  • Contact clients with overdue accounts and follow up to resolve outstanding payments.
  • Collaborate with the Accounts Receivable team to address payment issues and improve collection processes.
  • Prepare and analyze reports on collection status and client account updates.
  • Provide general administrative assistance to the Accounting Department, including scanning documents, answering phones, and creating special reports as needed.

Requirements

  • Associate's degree in Accounting, Business Administration, or a related field, OR a minimum of 3 years of experience in accounting/bookkeeping within a corporate environment.
  • Proficiency in accounting software (QuickBooks) and Microsoft Office (Excel and Word).
  • Knowledge of GAAP.
  • Ability to calculate and manage transactions with a high degree of accuracy in the General Ledger and subsidiary ledgers.
  • Intermediate-level computer and data entry skills, particularly in Excel and QuickBooks.
  • Self-motivated, goal-oriented, and able to work both independently and as part of a team.
  • High attention to detail and excellent organizational skills.
  • Strong integrity and ability to maintain confidentiality.
  • Excellent written and verbal communication skills.
